OFFICE COORDINATOR - PART TIME - VANCOUVER, WA
Red Hawk Fire Protection has an immediate position available for a part time Office Coordinator in Vancouver WA. This is a part time entry-level position which requires a self-motivated individual. An essential requirement is computer literacy and the ability to learn software quickly. The skill set to work on multiple tasks simultaneously, as well as general organizational skills. Oral and written communication is very important requirements. Most importantly, you must be a team player.
Things To Know Before Starting
Track jobs in scheduling systems and coordinate parts, inspections, and equipment for technicians.
Schedule inspections and immediate service requests.
Coordinate service work with managers and initiate deficiency correction proposals.
Submit inspection reports to local AHJs within 7 days of test completion; update reports as needed for deficiency corrections.
Ensure all service and inspection work orders/invoices are processed promptly.
Track technician certifications.
Maintain and update internal lists including AHJ, vendor, and third-party contacts.
Coordinate maintenance of testing equipment and devices.
Manage all aspects of facility operations to ensure a safe, functional, and professional workplace.
Coordinate office cleaning services and verify service quality.
Oversee office repairs, maintenance, and vendor services.
Monitor and manage office environment, equipment, and supplies to support daily operations.
Serve as the primary point of contact for facility-related needs and issues
This position is in our Vancouver location. The candidate will work closely with the department manager, branch manager, and location superintendent to support office administrative functions. Red Hawk Fire Protection is seeking an employee with prior experience in office management. Candidates will serve as the first point of contact for clients, vendors, and visitors. This position is responsible for managing front desk and phone operations, supporting administrative and billing functions, coordinating inspections and service scheduling, managing all aspects of the facility, and assisting with departmental needs. By combining customer service excellence with organizational, administrative, and facilities management expertise, this role contributes directly to operational efficiency and client satisfaction.
Salary: $22.00-26.00 Depending on Experience
Paid Time Off: Accrual based PTO at 80 hours annually upon completion of 90-day

Areas of Responsibilities:
Answer, screen, and transfer incoming calls; maintain coverage of office phones at all times.
Greet and direct visitors and clients; sign for and distribute incoming packages.
Respond promptly to customer calls and emails, providing information or directing inquiries as appropriate.
Support field staff by gathering data, troubleshooting IT issues, sourcing parts, and coordinating with central stations and/or fire marshals.
Prepare, edit, and distribute documents including correspondence, reports, drafts, memos, and emails.
Complete administrative tasks such as scanning and filing.
Maintain and order office supplies, apparel, and business cards as needed.
Assist with planning and implementation of company events.
Enter purchase orders (POs).
Set up projects/jobs
Certified payroll in coordination with accounting.
Request COIs and reseller permits.
Create, process, and send invoices; answer customer inquiries regarding invoicing.
Perform credit card reconciliation.
Assist with vendor setup in coordination with accounting.
